Job Introduction:

The BBC National Orchestra and Chorus of Wales occupies a special role as both a BBC broadcast orchestra and the national symphony orchestra of Wales. The Orchestra is generously supported by the Arts Council of Wales and is proud to work with an outstanding group of conductors.  The Orchestra is based at Hoddinott Hall in Cardiff Bay. 

As one of the six BBC Orchestras and Choirs, the Orchestra has a busy schedule of recordings, broadcasts and concerts for BBC Radio 3, BBC Radio Wales, BBC Radio Cymru, BBC Films and BBC television. Education and learning is also at the heart of our work, developing innovative projects to increase accessibility to classical music and engaging with communities across Wales. 

The Business Coordinator is a pivotal role in the operational and financial delivery of the orchestra as well as working with external clients to arrange external events in BBC Hoddinott Hall.

Main Responsibilities

Responsibilities of this role include:

  • Maintain and pro-actively develop strong working relations with musicians, suppliers, external hire clients and guests. 
  • Oversee the financial administration of the Operations Department, raising purchase and sale orders, updating records and the budget, in co-ordination with the Production Business Manager and Operations Team.
  • Raise contracts for all guest artists, composers & freelance musicians’ fees and expenses in co-ordination with the Artistic Production and Commercial Rights & Business Affairs teams, in accordance with the BBC/Musicians’ Union Freelance Agreement on the BBC contracts system (SAP) and ensure subsequent prompt payment.
  • Make travel arrangements (e.g. coaches, trains) and hotel bookings for the orchestra’s UK touring activity. Compile relevant paperwork and communicate details, ensuring that bookings are kept accurate, up-to-date and within budget.
  • Work with the Orchestra Manager to process and track BBC staff musicians’ expenses and training & instrument funds claims via the BBC expenses system.
  • Be the first point of contact for external hire enquiries, meet prospective clients for site visits, undertake the planning and operational management of external hire bookings and events for Hoddinott Hall utilising the spare capacity. A level of flexibility will be required including evening and weekend working.

Liaise with the Stage & Technical Manager and Assistant Stage & Technical Manager to set up and oversee all logistical and technical arrangements required for external hires, identifying and scheduling freelance crew as required.

We are looking for someone who has:

  • Outstanding administrative skills, an eye for detail and the ability to handle data and private information sensitively, keep accurate records and use business systems with pin-point accuracy;
  • Excellent communication skills, both written and verbal, and ability to establish effective short and long term relationships with a wide range of people, talent, partners and agencies;
  • Experience of planning and delivering a range of/parts of projects/events;
  • Excellent IT skills, with a good working knowledge of Microsoft office;
  • Effective planning and organising skills, ability to oversee several areas of work at one time, prioritising a range of activity, delivering consistently to deadlines and reacting positively to changes and conflicting priorities;

An ability to have a proactive approach and consider a range of problems and use own judgment to apply effective, time critical solutions.
